Job Purpose
The Data Administrator supports the DSV team by handling all administrative tasks throughout the initiation, planning, execution, and closure of detailed work packs related to subsea operations.
 
Key Result Areas (Key Accountabilities) (max. 10)
All activities within your responsibility must be in accordance with the management System;
  • Collaborate with the Superintendent/Master to allocate vessel hotel accommodations.
  • Manage induction checklists and STAR observation cards administration.
  • Ensure timely and accurate distribution of daily progress reports to relevant departments and stakeholders identified by the Project Subsea Lead.
  • Provide and distribute Minutes of Daily Progress Meetings promptly to relevant departments and stakeholders identified by the Project Subsea Lead.
  • Update and distribute approved freelance personnel time sheets in coordination with the Superintendent and/or Master.
  • Maintain an administrative data file containing information on both past and current personnel aboard.
  • Coordinate the procurement process from ordering to receiving goods/materials onboard the Mahara.
  • Coordinate personnel embarking/disembarking, transportation, and flight details with subsea engineering teams.
  • Collect necessary documentation from incoming project personnel: passport, offshore logbooks, survival, and medical records.
  • Arrange vessel familiarization sessions with the Safety Officer and/or Master.
  • Organize dive system familiarization with Dive Supervisor and update the familiarization tracker upon completion.
  • Arrange ROV system familiarization with ROV Supervisor and update the familiarization tracker upon completion.
  • Coordinate personnel assessments with Supervisors and forward signed assessment forms to the responsible department.
  • Register Subcontractors, Agencies, or Suppliers working onboard, including distribution, collection, and filing of signed Introduction booklets.
  • Control, update, and distribute the Master Document Register.
  • Contribute to the enhancement of administrative process
Holds minimum Three-year experience onboard a DSV (Diving Support Vessel)
Competencies/Skills/Others:
  • Good knowledge and skill with all MS (Micro Soft) products, Word, Excel, PowerPoint, Project, Visio, SharePoint, and Teams.
  • Good understanding of Subsea Operations.
  • Good planning and organisation skills.
  • Effective communication and interpersonal skills, capable of liaising with both onshore and offshore personnel.
  • Creative problem-solving skills.
  • Deliver no harm (People, Asset, Environment and Reputation) HSE performance through observance of life saving rules.
  • Embed safety leadership culture for self, team members and contractors for all operations. maintenance. construction and wells activities.
  • Promote strong behavioural safety culture, safety consciousness among individuals and actively promote participation in HSE programs to maintain a safe work environment
  • Promote an elevated level of ethics and compliance in accordance with the Code of Business Conduct, policies and procedures in day-to-day activities including interaction with contractors.
